Personal Data Processing Policy

As a user of NE USA, dba Propello, products and services, you should have a good understanding of how we process your personal data. Below is an overview of how we work to ensure that you can be confident that your personal data is always processed correctly and securely.

What is personal data

Personal data is any information which, alone or in combination with other information available to you or to someone else, can be linked, directly or indirectly, to a natural person who is alive. For example, name, email address, IP address and various types of electronic identities. Photographs and films of people, or a person's voice, are examples of other common personal data.

What is meant by the processing of personal data?
Processing means anything that can be done with personal data. For example, collecting, recording, storing, reading, compiling, copying, transmitting and publishing.

What does Propello use the personal data for?

We store and use (process) the personal data you provide to us, such as name, address and email address, only to administer the customer relationship and to improve and facilitate your use of the service. Your data will never be disclosed to others for marketing or other use without your prior consent.

Where does Propello store personal data?

We always ensure a high level of security for the processing and storage of personal data wherever it takes place. At present, we have our servers in the EU. Should we choose to store information or engage in cooperation outside the EU, we will ensure that the relevant provider complies with the applicable regulatory framework and that all security requirements that we ourselves follow are complied with.

What are your right to know what personal data Propello is processing?

As a customer of Propello, you can contact us at any time to access your personal data. You also have the right to have your personal data deleted, provided that it is not needed for Propello to fulfill its obligations or for legal reasons. In cases where a school, municipality or other legal entity has signed a contract with us, we will follow the instructions applicable to Propello as a data processor under the data processor agreement signed. This means that Propello may refer you to the party that is to be regarded as the principal and data controller of your personal data.

How secure is my personal data with Propello?

Propello ensures that both physical and digital security is always high. Propello's services allow administrators and teachers to access personal information about users under their contract. Personal information relating to users is only available to Propello employees whose job duties require such access and they must use high-security encrypted transmission to access the data. In addition, we have an authorization system that provides access to information only to those whose duties require it. This applies both to passwords and electronic keys to access the services and to the services Propello uses to manage our users. All computers with access to personal data are kept up-to-date and protected by antivirus/malware software.

Which of Propello's subcontractors have access to personal data?

Some of Propello's suppliers have access to personal data information in order to provide services to Propello, such as suppliers providing CRM, email management, payment and customer support tools. All suppliers comply with the applicable GDPR regulations. Propello always ensures that contracted subcontractors who are given access to personal data, in the US and abroad, have a sufficiently high level of protection for the secure handling of these data. In all cases, personal data processor agreements are drawn up which further ensure that the supplier complies with the high security requirements set by Propello and complies with the directives issued with regard to the handling of personal data. If you, as a principal, would like to know which suppliers Propello uses, please contact us.

How long is personal data stored?

A fundamental principle of the General Data Protection Regulation (GDPR) is that personal data must not be kept longer than is necessary for the purpose of the processing, and therefore collected personal data must be deleted from all storage locations as soon as the data is no longer necessary or otherwise relevant. If you have purchased directly from us, we will store your contact information and method of payment in accordance with applicable regulations and security requirements in order to provide you with continued service and to respond to queries etc. If we are acting as a data processor, we will comply with the rules regarding the storage of information as set out in the contract between us and the principal.

Who can access my personal data?
Only Propello's authorized personnel are given access to and may process personal data relating to Propello's users and customers. As a learning material customer of Propello, you can choose which of your users will be given access to personal data of your other users. Users' personal information is, of course, never shared openly.

How do users consent to Propello processing personal data?

When creating an account, or logging into the service for the first time, the user is asked to accept Propello's terms and conditions. This is necessary to enable the correct handling of personal data and to ensure the protection required for the processing. If the terms are not accepted, the service cannot be used.

What applies when Propello acts as a data processor?
As a large part of Propello's users' personal data is processed and stored in our services as a result of contracts signed through its principals, Propello is to be considered a processor and Propello processes the personal data in accordance with a processor agreement. Propello must always, when processing personal data as a processor, comply with applicable law and the restrictions and conditions of processing arising from the processor agreement.

Whom can I contact at Propello regarding the processing of personal data?

If you have any unanswered questions about Propello's handling of personal data, please contact us at hello@propello.com and we will help you. You can also contact the Data Protection Authority (IMY) if you have any concerns about our handling of personal data.

In such cases, any use of such cookies will be clearly indicated on the relevant website. We share information about such use of these pages only with trusted social media, advertising and analytics partners.

An overview of the cookies we use can be found in the section below.

Third-Party Cookies

The cookies stored when you visit our site may also include third-party cookies. Third-party cookies are stored by other parties and are used primarily to track a user’s browsing history. Third parties may also use cookies to provide advertising to you across various sites.

We and our advertising partners use cookies to personalize advertising and show relevant ads to those who have previously shown interest in our products. For example, we use Google's various features for, among other things, personalized advertising. You can opt-out of Google's advertising features and other Google Analytics features using the Google Analytics Opt-out Browser Add-on.

For example, we also use some of Facebook's advertising features. You can change how Facebook uses information based on your activities on websites or apps outside of Facebook for advertising purposes in Facebook's Ads settings.

Permanent Cookies and Session Cookies

There are two types of cookies. One type, called a "permanent cookie", saves a file that remains on the visitor's computer. It is used, for example, to tailor the website to the visitor's preferences, choices and interests, to customize external advertising and for statistical tracking. The second type is called a "session cookie". While a visitor is on a web page, it is temporarily stored in the visitor's computer memory. Session cookies disappear when you close your browser. Our website uses both permanent and session cookies. We use both types of cookies for our advertising to make it more relevant to users and more valuable to NE. They are used to enable the selection of ads based on what is relevant to the user, to improve reporting on different campaigns and to prevent ads that have already been shown to you from being shown again.

We use session cookies for our visitor statistics. Websites often collect information about what users do during a visit. This can include which pages users visit most often, and whether users receive error messages on certain pages. We use session status cookies to improve our offerings and website so that users have a better experience on the web. If you block or delete these cookies, you can nevertheless use the site.

We also use session cookies to keep you logged into the service. If you block all cookies, you will not be able to use our services.
